How to access shared notes after migrating to Goodnotes Teams
Learn why shared notes become inaccessible when moving from License Key to Goodnotes Teams, and how to restore access.
If your team has already fully migrated to Goodnotes Teams, skip to Step 2.
If you haven't migrated yet: before removing the License Key, ask document owners to duplicate any notes they have shared with colleagues and save a copy to their own library. This avoids losing access to shared content during the transition.
What Changes When You Migrate

Goodnotes Teams uses Goodnotes Cloud (GNC) instead - iCloud sync is not available for managed accounts
- Sharing connections tied to iCloud are not carried over automatically when users migrate
Step 1 - Complete the Migration for All Users First
Before restoring shared note access, make sure every team member has fully migrated to Goodnotes Cloud. Re-sharing while some users are still on iCloud will cause further access issues.
Important: If any users have an empty library after migrating, contact support before asking them to reinstall the app. Data may still be recoverable.
Step 2 - Re-Share Documents via Goodnotes Cloud
Once all users are on Goodnotes Cloud, document owners need to re-share any notes that were previously shared via iCloud. The original sharing links are no longer valid.
- Open the document in Goodnotes.
- Tap the Collaborate button (person icon with a +) in the Toolbar.
- Enable sharing and select your preferred access level.
- Send the new share link to your colleagues.
- Each recipient taps the link, signs in with their Goodnotes Account, and selects Join.
Please note: Both the document owner and the recipient must be signed in to a Goodnotes Account and on Goodnotes Cloud for the new share link to work.

- The affected user's email address
- A description of when the issue started
- Diagnostic Data from the affected user's device
To export Diagnostic Data: open the Goodnotes library > select your initials (top-right corner) > View Account > Account Settings > Export Diagnostic Data.
