Transitioning from a License Key to Goodnotes Teams

With the launch of the Goodnotes Teams tier and the introduction of the Goodnotes Admin Console, License Key deployments are no longer required to facilitate usage on Business subscriptions.

If you have previously owned a License Key and would like to switch to using the Goodnotes Teams, as a precaution we would encourage all users to make sure they have an appropriate backup in place for their data before completing the deployment. This can be achieved through iCloud SyncAuto Backup or a Manual Backup.

When looking to onboard to Goodnotes Teams, you will be changing your existing setup from a device-based deployment to a user-based model, as such you will need to ensure your domain is setup, your end-users have access and that you remove your License Key deployment so that the sign-in process will be available to your users.

In order to complete the transition, you will need to complete the following steps:

  1. Ensure end-users complete a manual backup of their data prior to migration from License Key to Goodnotes Teams.
  2. First login to the Goodnotes Admin Console: https://org-admin.goodnotes.com/
  3. Set up your account and login methods (OIDC or SSO), and verify your domain, if required for your organization.
  4. From here you can look to invite your users using email invite or by having them sign-in using their company credentials, if provisioned via step 3.
    1. If using email invite, please ensure end-users complete the sign-in process with the same email that received the invitation.
    2. If using the login method described above, please ensure end-users login using the same method that is provisioned within the Admin Console, otherwise they may experience an error logging in, or not join the organisation at all.
  5. Once signed in, users should see their organisation name listed under their Goodnotes Account in the About Menu, as well as their member role that has been assigned.
  6. On the Admin Console, you will see the users populate within the People section and their associated member role once they have successfully signed in.
  7. Once users have been migrated over to Goodnotes Teams, if you have not already done so, you can remove your License Key from your MDM deployment.
