How to Delete Users

If your users no longer require access to Goodnotes Teams you can manage this via the Admin Console

You can use the Admin Console to delete users in your Organization. 

There are two options available: Deactivate or Delete.

Please ensure users have performed a Manual Backup before proceeding with deleting their account. 

1. Deactivate/Suspend

This option blocks a Goodnotes Account from logging into Goodnotes, and can be reactivated at any time by the Organization Admin or User Admin in Admin Console > User Management.

During the “deactivated” state, the account can be reactivated or deleted.

2. Delete

There are 2 types of deletions: Soft delete or Hard delete.

  • Soft delete: When the Owner deletes a Goodnotes Account (GNA) via the Admin Console, the GNA enters a soft delete state (a.k.a. "scheduled to delete" state) and begins the 21-day retention period. Goodnotes' internal team can recover these GNA's during the 21-day retention period.
  • Hard delete: Once the 21-day retention period has expired, the GNA will be hard deleted, which is a permanent deletion, and no one will be able to recover the data. 

Retention period: A period during which we will retain the GNA and associated data until it is permanently removed from our system. We also allow the Owner of the organization to request account restoration if they contact the Goodnotes Ops team during this period.

Deleting the account immediately

Once an account is scheduled for deletion, if a user logs into that account, they will see this screen where they have 3 options:

  1. They can choose to Recover their account.
  2. Sign into a different account
  3. Delete the account immediately by selecting "Want to permanently delete your account immediately?" at the bottom of the screen and confirming.
